Setting the Scene: Safety & Presentation Tips for Every Booking

A lot of what makes a party booking go well happens before the customer ever sees it. This guide walks through what careful preparation actually looks like, booking to booking, so that safety isn't just a general idea but something you can check off in practice.
Before every booking: the inspection habit
Before each event, take a few minutes to go over your items, equipment, or materials one at a time. Look for wear, damage, loose parts, or anything that could affect safety or how the finished product looks. This applies just as much to a stack of linens as it does to a bounce house blower or a craft station's supplies. Clean everything using products that are safe for kids, and if you're using anything scented or chemical, make sure it's fully dry and aired out before it's anywhere near a child.
Category-specific things to watch for
Different offerings come with different risks, so it helps to think through your specific category:
- Inflatables and soft play: Check for tears, weak seams, or valve issues before every use. Make sure the surface underneath is level and free of sharp debris, and that there's enough clearance around the setup so kids aren't landing near walls, fences, or furniture.
- Tents and outdoor structures: Confirm the ground can properly anchor stakes or weights, and double-check anchoring in windy conditions. A tent that looks secure at 10am can be a different story by 2pm.
- Glamping and styled setups: Watch for cords, decor, or furniture pieces that could create a tripping hazard, especially in spaces where kids will be running around rather than sitting still.
- Food and treat carts: Follow safe food handling practices for storage and serving temperatures, and be mindful of common allergens in your ingredients so you can answer a parent's question accurately if asked.
- Craft and activity stations: Check that materials are age-appropriate and free of small parts that could be a choking hazard for younger siblings who might wander over.
On the day of the event
If you're on-site for setup or the full event, take a moment once everything is in place to walk through it as if you were a parent seeing it for the first time. Would you feel comfortable letting your own child play here unsupervised for a few minutes? That gut check tends to catch things a mental checklist doesn't.
If anything about the space itself raises a concern, whether it's uneven ground, exposed wiring, or a setup location that's changed from what was originally discussed, it's worth a quick conversation with the host before proceeding.
Delivery, setup, and pickup
If customers are picking items up from you, confirm the timing ahead of time and make sure everything is clean, organized, and ready to go. Share any care or setup instructions in advance, or walk through them briefly at pickup, especially anything safety-related like weight limits or how to secure a piece properly.
If your listing includes delivery or on-site service, confirm the address, timing, and any access details beforehand, and arrive with everything you need so you can work efficiently. If items need to be picked up after the event, communicate that timeline clearly, and when you do retrieve them, do a quick check that everything is accounted for and leave the space tidy.
A quick habit that protects you too
Snapping a few photos of your setup once it's complete, and again at pickup, takes a minute and gives you a record if a damage question ever comes up later. It's a small step, but it protects both you and the customer if there's ever a disagreement about the condition items were in.
